Planning for your DOM Annual Faculty Review Meeting
Tips and Best Practices
The DOM Annual Faculty Review form and corresponding meeting with your Division Chief (or representative) is a great opportunity for clinician-educators to assess their present state, reflect on where they want to go, and plan for the future. We encourage you to invest time in completing the form and preparing for the conversation as it is well designed to walk faculty through a thoughtful process. Here are a few tips to make the most of the process.
Completing the Form and Meeting Planning:
Sections 1 & 2 - Time Allocation and Salary Sources: Use these sections to reflect on your current work distribution and share honestly with your division chief and mentors what changes you would like to see. Is there an education funding opportunity that appeals to you? Check out our advice on applying for positions. Think together on whether you could make an incremental change this year (or next) to get you to your goal.
Section 3 – Academic Appointment: Use this section to be sure you understand the expectations of your series. Most clinician educators are in the HS Clinical or Clinical X series. Both require creative activities. Are you in a series that fits your work well? Resources include the UCSF Academic Handbook, UCSF Office of Faculty and Academic Affairs’ Academic Review webpage and the Department of Medicine’s Advancement Guidelines.
Section 4 – Goals and Contributions: Use this section to think about your career goals including future leadership aspirations, awards for which you would like to be nominated, or local/regional/national networks that interest you. How might you know what opportunities to consider? Schedule a conversation with your mentor or one of us to learn more.
Section 5 – Scholarship: Use this section to consider creative activities that you are engaging in and remind you to take a small step forward in your projects, or get some advice for next steps. To discuss an idea, schedule a conversation with your mentor or one of us!
Sections 6 – Teaching, Mentoring, & Education: Use these sections to (1) review and reflect on your teaching evaluations (access the PDF with all your recent evaluations), (2) think about what is going well and how you would like to improve, and (3) identify resources to enhance your skills. The UCSF Center for Faculty Development has workshops throughout the year to enhance teaching and educator skills.
Section 7 – Mentorship and Resources: Use this section to reflect on whether you have a mentoring network that serves all of your needs in a well-rounded way. If not yet, please reach out to us at DOM PRO-cess. We can help you find mentors knowledgeable in the clinician-educator career pathway.
Attachment – CV: This is a great opportunity to update your CV! What have you done in the last year (e.g., committees, talks, roles) that has not made it onto your CV yet? Here are UCSF’s CV Guidelines.
Meeting Logistics: As you plan for the meeting consider how much time you have and what you want to make sure you discuss. After the meeting consider a follow-up email with a summary of the discussion and next steps.
The annual review process is designed to stimulate thought about your career goals and trajectory. With even a small investment of time, this process can help enhance your sense of meaning and accomplishment.
Please reach out to us if you have any questions or would like to meet with a DOM PRO-cess faculty to discuss more. We are here to support you!
